Share a Calendar and Files with Microsoft 365

Two people, one Word file, and three emailed versions all named “final.” If that’s your team, shared files and a shared calendar fix it.

Menu names can shift a little as Microsoft updates things, but the idea stays the same.

Share your calendar

  1. Open your calendar in Outlook.
  2. Look for “Share” or “Share calendar.”
  3. Type your teammate’s email address.
  4. Pick how much they can see: free or busy, or full details.
  5. Send the invitation. They accept it, and your calendar appears next to theirs.

Share a file or folder

  1. Put the file in OneDrive.
  2. Right-click it and choose “Share.”
  3. Type the person’s email address.
  4. Choose “can edit” if they should make changes, or “can view” if they shouldn’t.
  5. Send. You’re both working on one copy now.

Habits that keep it tidy

  • Keep shared files in one shared folder, not scattered around.
  • Name files by what they are, not “final2.”
  • Remove access when someone leaves the team.

Check your plan first

Which features you get depends on the Microsoft 365 plan you pick, so read the feature list on the plan page before you buy.
