Why Your Emails Land in Spam (and How to Fix It)

/ How To / By Cyber Grapes

A customer tells you they never got your email, and you know you sent it. Before you blame them, run this quick check.

Test it yourself in five minutes

  1. Open a free Gmail account and a free Outlook account if you don’t already have them.
  2. Send a normal business email from your work address to both.
  3. Look in the inbox and in the spam folder of each.
  4. If it landed in spam, open it and click “Not spam” (or the same idea in your mail app). That teaches the filter.

The three usual suspects

  1. You’re sending from a free address. Messages from a Gmail or Yahoo address that pretend to speak for a business get looked at harder. Send from an address on your own domain, like you@yourbusiness.com.
  2. Your domain is missing its “proof of identity.” Email has three records called SPF, DKIM and DMARC. They tell the receiving side, “yes, this message really came from this domain.” Your email provider’s help page lists the exact records for your setup. Start with the Professional Email help center.
  3. The message looks like junk. ALL CAPS, lots of exclamation points, big images with little text, and long lists of links all raise flags.

Two habits that help

  • Ask important contacts to reply to you once. A reply tells filters you’re a real conversation.
  • Keep a short list of people to check in with by phone when an email really matters.

Stuck? Call 763-CGRAPES (763-247-2737) any hour. Real people, 24/7 sales and support.
